University Centre Facility Services


The University Centre is where campus connects! As the central student and administrative hub on the University of Guelph campus, our goal is to deliver quality student experiences through our programming, social, recreational and engagement activities and services along with business amenities and meeting facilities to support the university community. The 'UC' as it is well known on campus, provides open study and social lounge spaces, bookable meeting rooms and conference hall, a variety of food and beverage locations and dining environments, personal health and care services, and dynamic activity and event spaces.

The University Centre Services team offers the following services to our students, staff, faculty, and community guests and businesses:

Meeting Room & Event Bookings


The University Centre is a popular central location for events, activities, and programming features. We offer a variety of multipurpose and executive meeting rooms, a large multipurpose conference and event hall, open public main floor spaces, and other lounges and pubs available for booking. Our Facility Services Guide highlights our rooms, amenities, and available services to explore and support your meeting, event, or activity planning.

All reservation requests are first come, first serve. To ensure an expedient booking process, please have your reservation plans and details prepared at time of booking.

  • For meeting room and hall bookings, please complete the UC Reservations Booking Request and our team will review your request, room availability, and confirm your booking.

  • For central courtyard and main level activity and vending space bookings, please submit a Courtyard Space E-Request Form.

  • Please note: Reservations by phone will not be accepted.

 

Equipment & AV Support


Be prepared for your meeting, event or activity with coordinated audio video support and the right equipment to meet your needs. Our team can provide technical solutions and programming support including live streaming support, sound services, videography and digital recording services, and equipment rentals. UC Events Food & Beverage Catering


UC Services is available to provide individually packaged food and beverage service along with full event planning support in The Brass Taps Campus Pub, Peter Clark Hall, and all Bookable Meeting Rooms within the University Centre. We are committed to quality and ensuring your event is a great success. Planning Your Event


All student events and activities must receive SE&RM approval and, if required, Sales & Solicitations approval prior to the time of the event or activity or the booking will be cancelled. All requests must be submitted to the appropriate party at least ten (10) days in advance of the date of the event or activity.

 

Booking Terms & Conditions


All reservations and services are booked on a first come, first served basis. By confirming your reservation, you acknowledge your acceptance of the Reservation Services Policy and agree to accept any and all charges associated with the reservation including cancellation and non-use fees. 
 
Confirmation
We require a ‘deposit’ in the form of GL Coding for all department or college bookings, a valid Student ID and mailing address for all student, club and college government bookings, or a credit card number for any external client bookings. We will not charge any fees to your account prior to the reservation. If there are fees or costs relating to your reservation, we will process the charges following your reservation and provide a detailed invoice for your records. 
 
Cancellation & Non-Use Policy
The University Centre aims to maximize availability and usage of all rooms in order to meet the large amount of requests for space in the building. To ensure rooms and space are used effectively, the University Centre requires notice of cancellation immediately in order to make the space available for another group. For late cancellations and non-usage of space (failing to arrive and use the roombooked), the following late cancellation fees will apply to any user group:
1. Meeting Rooms: All standard meeting room bookings require a minimum of twenty-four (24) hours advanced notice for cancellation. These rooms include 004, 005, 332, 333, 334, 335, 429.
2. Multi-Purpose Rooms & UC Courtyard: Multi-purpose room bookings and all courtyard bookings require a minimum of five (5) calendar days advanced notice of cancellation. Multi-purpose rooms include 001A, 001B, 001C, 430, 441, and 442.
3. Peter Clark Hall: All bookings for Peter Clark Hall (centre section and complete hall) require a minimum of ten (10) calendar days advanced cancellation notice.
Room cancellations within the late cancellation period and non-usage of space will be levied a charge equalling the regular roomrental rate for the booking plus a ten (10%) service recovery fee. Cancellation fees may be waived under special circumstances upon request, subject to the approval of University Centre management.
 
Food & Beverage Services
All food and beverage services including alcohol service may be arranged through University Centre Services (Brass Taps Pub, The Lookout: Patio + Grad Lounge, Campus Bakery Co., and UC Event Services) or Hospitality Services. Prepared food items and alcohol beverages can only be provided by these service providers to ensure adherence to local and provincial food safety, health, and liquor regulations. We recommend arranging service upon confirming your booking to ensure service availability. Integrated Audio Visual Support
Most meeting and multi-purpose rooms are equipped with integrated audio visual (A/V) systems for display and presentation purposes. Basic plug and play usage of the A/V system is included with the room booking. Advanced A/V support including the use of any special adaptors is available for $52.50 per booking.
Clients using A/V systems are responsible for the care and condition of the system during the room booking. Any issues or concerns with the condition of the A/V system need to be forwarded to the attention of the Reservation Services Office immediately.
